Submitting data to SAQA (release Level 2) 

This release of Edu.Dex allows a registered ETQA to validate a NLRD data submission prior to submitting the data to the NLRD directorate to SAQA. The following should be noted:

  1. SAQA will only accept data that conforms to the NLRD Load file specifications as released on the SAQA web site.
  2. The Edu.Dex data validation utility will ensure that your data submission complies to the technical specifications of the NLRD Load specifications. SAQA however retains the right to reject any data submission even if the data submission has passed the Edu.Dex validation.
  3. The Edu.Dex data validation utility validates your data against lookup codes (for example gender codes, equity codes etc), qualification identifiers and unit standard identifiers as stored in the NLRD database. lookup codes, qualification identifiers and unit standard identifiers are dynamic data features of the NLRD database, the Edu.Dex data validation utility must therefore be updated on a regular basis to ensure that your data is validated against the most current data values.Please note that it is the responsibility of the ETQA to update the Edu.Dex lookup codes, qualification identifiers and unit standard identifiers prior to testing a data submission that will be sent to SAQA.Please refer to the FAQ- How do I update the Edu.Dex lookup codes, qualification identifiers and unit standards identifiers? for instructions on how to update the Edu.Dex lookup codes, qualification identifiers and unit standard identifiers.
  4. The Edu.Dex data validation utility is able to validate data submissions that contain non-primary focus area data. Non-primary focus area data includes:
    1. Learner enrolments (File 2 and /or File7) that are associated to providers that belong to another ETQA (the ETQA_ID of the provider is not the same as your ETQA_ID)
    2. Learner enrolments (File 2 and /or File 7) that are associated to assessors that belong to another ETQA (the ETQA_ID of the assessor is not the same as your ETQA_ID)
    3. Provider accreditations (File 10) that are associated to providers that belong to another ETQA (the ETQA_ID of the provider is not the same as your ETQA_ID)
    4. Assessor registrations (File 8) that are associated to assessors that belong to another ETQA (the ETQA_ID of the assessors that belong to another ETQA (the ETQA_ID od te assessor is not the same as your ETQA_ID).

An entry in the Edu.Dex aggregated reports will be found under a Validation Rank of SAQA check required heading for the specific file if non-primary focus data is included in your submission.

Please note that it is the responsibility of the ETQA to ensure that any non-primary focus area records already exist ion the NLRD prior to submitting this type of data to the NLRD directorate.

Edu.Dex is released to ETQA’s with the following default login and password:

Login: SAQA
Password: SAQA

The Edu.Dex data validation utility allows you to change the Edu.Dex login and password in the Administration menu of the application. The Edu.Dex team recommends that the Edu.Dex login and password are changed once the software has been installed.

Contact the Edu.Dex technical support team at Edu.Dex@Praxis.co.za if you have changed your Edu.Dex login and password and can no longer login.

Edu.Dex expects to find your data submission in a specific location with a specific naming convention. Please confirm the following if Edu.Dex is unable to find your data submission:

The data submission files are in the location that you are pointing Edu.Dex to. Make sure that you are pointing to the right location and that the files are saved in this location.
The data submission date is the same as the date that you are selecting in Edu.Dex (see item 3 for the date format).
The data submission files have the right naming convention.

Make sure that your data submission files have been named correctly. Edu.Dex is expecting the following:

File name: nnnnffyymmdd.dat 
   
   Where nnnn represents one of the following:
   The four character mnemonic for your ETQA/Professional Body (CHED)
             OR
   A three character number that represents the ETQA/Professional Body code (621)
             OR
   A four character number that represents the ETQA/Professional Body code (0621)
   
Where  ff   represents the number of the file (01 for Learner information)
Where  yy  represents the year of the submission (06 for 2006).
Where  mm   represents the month of the submission (07 for July).
Where  dd  indicates the day of the submission (01 for the 1st day of the month).
Where .dat   is the required extension of the file.

How to update Edu.Dex instructions

Prior to submitting non-primary focus area data to the NLRD you must confirm that the provider codes/assessor codes that you are submitting already exist on the NLRD. Create the following list from the data stored in your information system:

For non-primary focus area providers:

Make a list of all of the non-primary focus area providers with the following type of information; Provider Code, Owning ETQA ID, Provider Name, physical address (if available) and telephone number (if available).

For non-primary focus area assessors:

Make a list of all of the non-primary focus area assessors with the following type of information; Assessor Identifier, Owning ETQA ID, Assessor first, middle and last name, physical address (if available) and telephone number (if available).

Ask the NLRD Directorate (see item number 3) to confirm that these providers or assessors exist on the NLRD.
